1. General Provisions
1.1. “Baltic Wave Boutique Apartments” used in the lease agreement and in these Terms and Conditions refers to the business entity SANHAUS A.J. Ziółek Spółka Jawna, with its registered office at ul. Bałtycka 6/1, Sopot (postal code 81-707), NIP 585-147-85-72; tel. +48 509 476 804. Communication with the Guest will be carried out primarily by telephone, by email, and in special cases in writing, using the numbers and addresses indicated in the agreement, in particular: apartamenty@sanhaus.pl
or by phone at +48 730 300 530.
1.2. These Terms and Conditions define the rules for booking and renting Apartments, understood as making available to the Guest a premises with its furnishings for a short-term stay for residential purposes, in particular leisure or tourism.
1.3. Making a reservation constitutes a simultaneous conclusion of the Apartment Lease Agreement between Baltic Wave Boutique Apartments and the Guest, under the conditions specified in these Terms and Conditions and the specific conditions included in the correspondence with the Guest. Baltic Wave Boutique Apartments may require written confirmation of the Lease Agreement upon handing over the Apartment.
1.4. By making a reservation, the Guest declares that they have read and accepted the above regulations.
2. Electronic Services
2.1. The provision of electronic services under these Terms consists of enabling access to the Baltic Wave Boutique Apartments offer by displaying and reading content, allowing reservations through the website www.balticwave.pl
, and providing a contact form. These services are free of charge for Guests and other internet users.
2.2. Technical requirements necessary for the provision of these services include: an Internet connection, a web browser capable of displaying HTML documents, and an email-enabled browser. The website may use the following technologies: Java, JavaScript, Macromedia Flash, XML, PHP, DHTML, cookies, HTML, CSS. Baltic Wave Boutique Apartments informs that IP addresses may be recorded for website statistics and improvements. Use of the services may involve standard risks associated with the use of the Internet. It is recommended to take appropriate measures to minimize them.
2.3. All users are required to refrain from abusing electronic communication tools and from providing content to or within the teleinformatics system of Baltic Wave Boutique Apartments that could disrupt or overload the system, violate the rights of third parties, offend accepted social norms, or be contrary to applicable law.
2.4. Baltic Wave Boutique Apartments makes every effort to ensure proper and uninterrupted functioning of the www.balticwave.pl
website. It reserves the right to carry out maintenance work that may hinder or prevent use. Efforts will be made to notify users of maintenance schedules in advance. In special cases affecting the security or stability of the system, Baltic Wave Boutique Apartments may temporarily suspend or limit services without prior notice.
2.5. If the services specified in these Terms malfunction or do not comply with them, users may file a complaint by email at apartamenty@sanhaus.pl
or in writing to Baltic Wave Boutique Apartments with the note “E-service complaint.” To facilitate complaint processing, the Guest should provide personal data (at least name, surname, email and phone number) and describe the issue. Complaints will be reviewed within 30 days of submission, and outcomes will be communicated by email.
3. Reservation and Payment
3.1. Reservations can be made as follows:

d. via platforms such as Booking.com, Expedia.com, etc.
3.2. After making the reservation, the Guest receives an email containing reservation details, conditions, and check-in instructions. Prices must be confirmed by Baltic Wave Boutique Apartments by phone or in the reservation confirmation. All prices include VAT applicable at the time of booking. An invoice may be issued at the Guest’s request.
3.3. A reservation is confirmed upon payment of a deposit specified in the email offer. The deposit may be paid by credit card, online payment methods, or bank transfer.
3.4. Failure to pay the deposit within the specified time results in cancellation of the Lease Agreement without the need for any action from Baltic Wave Boutique Apartments or the Guest.
3.5. The Guest must pay the remaining balance upon arrival, in cash or by card, along with the city tax of PLN 6.38 per person per night in 2025 and PLN 6.67 in 2026 (set by the City of Sopot and subject to change). Payment may be made in PLN or EUR. Early departure not caused by Baltic Wave Boutique Apartments does not entitle the Guest to a refund.
3.6. The price includes: bedding, towels, final cleaning, wireless Internet, utilities (water, gas, electricity, heating), gym access, and sauna access (1 hour per day). Parking is not included. Baltic Wave Boutique Apartments does not have its own parking spaces.
3.7. Baltic Wave Boutique Apartments reserves the right to collect a refundable damage deposit of at least PLN 500, of which the Guest is informed before confirming the reservation. The deposit is secured as a card pre-authorization. Exceptionally, it may be paid in cash. The deposit secures claims for damages or violations of the regulations.
Refund rules:
a) card pre-authorization – the block is released within 2 days after check-out; bank processing time may extend this.
b) cash deposit – refunded only via bank transfer within 2 days after check-out; any bank fees are covered by the Guest.
3.8. Any reservation changes must be made by email and become effective only after confirmation by Baltic Wave Boutique Apartments. Changes may be refused for objective reasons. If the Guest withdraws from the Agreement because changes cannot be made, the deposit is non-refundable.
4. Check-in
4.1. The Guest must inform Baltic Wave Boutique Apartments of their arrival time by phone or email no later than one day before arrival.
4.2. Check-in starts at 4:00 p.m. on the day of arrival and check-out is by 11:00 a.m. on the day of departure. A late check-out until 1:00 p.m. may be possible upon prior confirmation.
4.3. Baltic Wave Boutique Apartments may refuse to hand over keys and deny accommodation to persons under the influence of alcohol, drugs, acting aggressively, or posing a threat to others or property.
4.4. The Apartments do not have private parking spaces. Cars may be parked on public streets (paid parking according to meters).
5. House Rules
5.1. Quiet hours are from 10:00 p.m. to 7:00 a.m. Violation may result in immediate termination of the lease, police intervention, and legal or financial consequences. Incidents may be reported both by Guests and residents of the building.
5.2. The Apartment may only be used for residential purposes. Any professional or business activity, storage of goods, hosting events, photoshoots (unless approved), or excessive alcohol consumption is prohibited.
5.3. Smoking tobacco, candles, or any open flame is strictly prohibited in the Apartment and building. Violation results in a PLN 500 fee for specialist cleaning.
5.4. During the lease period, the Guest must maintain the Apartment in proper sanitary and technical condition and protect common areas from damage. The Guest is responsible for damage caused by themselves or visitors.
5.5. Any damage found or caused must be reported immediately. Failure to report may result in the Guest being charged regardless of the cause.
5.6. The Guest must lock the Apartment door when inside and when leaving, and close windows before leaving. A safe is provided for valuables.
5.7. Lost or damaged keys incur a PLN 500 replacement fee.
5.8. The Guest may not sublet or transfer rights under the lease. Unregistered persons must leave the Apartment by 10:00 p.m.
5.9. The number of Guests may not exceed the number declared at booking. Violation entitles Baltic Wave Boutique Apartments to immediately terminate the Agreement without refund.
5.10. Baltic Wave Boutique Apartments is not responsible for inconveniences caused by nearby construction, interruptions in utilities beyond its control, or nuisance from neighboring properties.
5.11. Selected dog breeds are accepted only upon prior approval. Violation results in immediate termination without refund or return of deposit.
5.12. Waste must be sorted according to instructions in the Apartment. Leaving unsorted waste results in a PLN 100 fee.
5.13. The Guest must leave the Apartment in a generally tidy condition, without personal belongings and without excessive dirt. If the Apartment is left in a state beyond normal use, an additional cleaning fee may apply. Severe damage requiring specialist cleaning (e.g., upholstery cleaning, carpet washing, wall repainting) will be charged at actual cost, supported by photos and invoices.
5.14. The Guest must vacate and return the keys by 11:00 a.m., unless a late check-out has been agreed. Items left behind are not considered accepted for safekeeping. If the Agreement is terminated early, the Guest must vacate the Apartment within 3 hours of notification.
5.15. Leaving the Apartment without notifying Baltic Wave Boutique Apartments and returning keys in an unauthorized location incurs a PLN 500 fee and potential compensation for lost rental opportunities.
5.16. Failure to vacate the Apartment on time results in a fee of 200% of the daily rate for each commenced 24 hours.
5.17. Any additional charges not settled during check-out or not covered by the deposit must be paid by the Guest within 7 days. Charges also apply in case of early termination.
6. Final Provisions
6.1. Both the owner and the manager commit to providing services diligently and professionally.
6.2. In unforeseeable circumstances beyond immediate control, Baltic Wave Boutique Apartments may offer the Guest an alternative, comparable accommodation. If safety cannot be guaranteed and no alternative is available, the service obligation expires and all payments are refunded.

6.4. By registering and booking services, you voluntarily provide personal data (name, address, email, phone number, credit card number) and consent to its processing. Data is used only for service provision, satisfaction surveys, and promotional offers, and is not shared or sold. Guests may access, correct, or request deletion of their data at any time.
6.5. Consumers may use out-of-court complaint and dispute resolution mechanisms. Information is available at www.uokik.gov.pl
under “Consumer dispute resolution” and via the EU ODR platform at http://ec.europa.eu/consumers/odr
. Participation is voluntary and requires both parties’ consent.
6.6. These Terms are available free of charge on www.balticwave.pl
in a downloadable and printable format. All users must read the Terms before using the services.
6.7. Nothing in these Terms is intended to violate consumer rights. In case of conflict, statutory consumer rights prevail. Polish law applies to agreements with Entrepreneurs. Jurisdiction for disputes with Entrepreneurs lies with the court having jurisdiction over our registered office.
